We began with the COYAC Leadership Interim Communication Proposal that Stuart Jenkins (Youth Co-Chair) came up with. He had hoped to have it entered into the by-laws at the Business Meeting. He left it in our charge as we are the Communication Committee.
A consensus was reached that it would be unrealistic to maintain such a high demand for communication. Also, we came to the conclusion, after reading the Proposal, that there were changes that needed to be made, and we would see how it worked before even attempting to enter it into the by-laws.

Changes made:
1) a “Committee Communication Plan” is unneeded at this point in time. Monthly posts should be made to Face Book so everyone can see them, and it would allow for transparency within the Council. It is the responsibility of the Executive Committee to check in on the Face Book group and ensure that the posts are made by chairs (or those they delegate, but it will come back to the chair if it is not done).
2) Minutes should be posted to the Civic Network site within one week of a meeting.
3) The Bill Tracking Spreadsheet should be utilized and updated by all Policy Committees. Mandy volunteered to make sure the links get up on the website.
4) As this concerns the Outreach Committee, and not Communications, it is not our duty and will not be included in our Standard.

We need to come up with multiple, feasible ways to maintain adequate communications. We talked about:
- A “Buddy System” to ensure everyone has received news
- Bigtent.com- we will check it out to see what we think of it as a committee
- A Face Book group for each committee if they choose to operate that way
- Mass Text Message for quick reminders

Teo worked on a survey on Sunday night, and he will get that out in an effort to find out what ways of communications work best for everyone.

Mandy volunteered to provide personal support to members of the Council, on behalf of both the Executive Committee and the Communications Committee, in case anyone is having problems finding information, links, or making contact with other members of the Council.
