1. How to eliminate such a situation from happening again.
Stuart- Mandy- you should have sent email to both Stuart and Anthony so we knew what was happening as well.
Mandy- Annsley came to me as a friend, and as a fellow member of COYAC, rather than as a fellow member of the Executive Council, or because I am the Secretary of COYAC.
Bill- I agree with Mandy’s actions because it doesn’t break the ranks of confidence. I think this is a good case study of how things can be most effectively worked on in these sorts of situations. I think that these sorts of situations need to be tracked, and how they are handled will set a precedence, rather than set a strict rule book about how everything should be handled.

2. Treasury Issues
Annsley- I have been working with a board member on El Pommar, in trying to get a couple of grants. I was wondering if you guys had any questions or concerns on the matter.
Stuart- Please, continue on this effort!
Annsley- I think that keeping a personal relationship with sponsors would help immensely in continuing their support.
3. Charters
Annsley- went over her Charter. All agreed.
Mandy- went over her Charter. All agreed.
4. Outline Emergency Powers
Bill- Historical precedence is so negative, that it might almost be better not to set such out. I think that what you did was completely within the by-laws.
Anthony- By-laws cover the action that was taken, but I have no issue either way.
Annsley- In many other organizations, the different Committee Chairs are picked by the Executive Committee.
Mandy- Committee Chairs were picked before Executive Committee was elected.
Stuart- I was under the impression that the elections were going to move to the end of the year meeting.
Anthony- I think that Chair and Co- Chair should be elected in the May or June meeting, while the Secretary and Treasurer should be elected in October so that we have some sort of leadership during the summer.
Bill- I would suggest Chair and Secretary being elected in the spring, and Co- Chair and Treasurer being elected in the fall.
Mandy- I agree with Bill, from a Secretary’s point of view.
Stuart- I understand the points, and I can see the benefit of electing the Secretary and Chair at the May meeting.

Stuart moved to bring the election of Chair and Secretary at the end of the year before the rest of the Council, Mandy seconded the motion. The question passed unanimously.

5. June date
Mandy has a conflict with an SAT date. The question is whether to please the majority or to ensure that the Secretary is at the final meeting for the Council. The Executive Committee, as well as Mandy, will do everything possible to get everyone there.

Anthony moves to have the banquet/ final COYAC meeting on June 4th and 5th. Annsley seconded the motion. The question passed.
